REQUEST: APPROVE PURCHASE OF CONFERENCE TABLES, CREDENZAS,
AND CHAIRS FOR THE PROPOSED REMODEL OF THE
CONFERENCE ROOMS LOCATED IN THE PUBLIC WORKS AND
PLANNING DEPARTMENTS, THE CITY COUNCIL OFFICE AREA, AND
THE NORTH WING IN THE TOTAL AMOUNT OF $95,730.67 AND
DECLARE SURPLUS OF GOODS

Recommendation:
By Minute Motion, that the City Council and the Agency Board approve the purchase
of chairs, conference tables, and credenzas for the proposed remodel of the
conference rooms located in Public Works and Planning Departments, the City
Council Office Area, and the North Wing by:
1) Authorizing a purchase order in the amount of $36,018.67 to Haworth, Inc.
c/o Totalplan, Inc. of Riverside, California. Fund distributions amounting to
50% ($18,009.34) are available in Account No. 110-4159-415-4040 (City
Funds), 25% ($9,004.67) are available in Account No. 850-4195-466-4040
(Redevelopment Funds), and 25% ($9,004.66) are available in Account No.
870-4195-466-4040 (Housing Funds);
2) Authorizing a purchase order in the amount of $59,712 to Paul Downs
Cabinetmakers of Bridgeport, Pennsylvania. Fund distributions amounting to
50% ($29,856) are available in Account No. 110-4159-415-4040 (City Funds),
25% ($14,928) are available in Account No. 850-4195-466-4040
(Redevelopment Funds), and 25% ($14,928) are available in Account No.
870-4195-466-4040 (Housing Funds); and

3) Declare the existing furnishings, the tables and chairs in the North Wing
Conference Room and Planning Conference Room as surplus property and
authorize staff to donate the items to the non-profit organization, Joslyn
Senior Center.
Executive Summary:
Approval of staff recommendation will allow procurement of new chairs, conference tables, and
credenzas for the proposed remodel of the conference rooms located in Public Works and
Planning Departments, the City Council Office Area, and the North Wing. This furniture will
bring these conference rooms up to the standard of the other conference rooms in City Hall.
Discussion:
On 24 August 2006, the City Council approved the appropriation of funds for the proposed
remodel of the Redevelopment Lobby and the conference rooms located in Public Works and
Planning Departments, the City Council office area, and the North Wing. Furniture selection and
prices have been evaluated for use in these areas. Furniture for these designated areas has
been selected with consideration given to the existing building architecture and interiors,
recycled content and sustainable materials, colors and finishes, the use of space, the care and
maintenance of the materials used, and comfort.
The conference tables and credenzas are the first pieces of furniture to be purchased for each
room, as they will have the longest lead-time in manufacturing. Since these are bulk purchases,
the city receives a 12% discount, which significantly lowers the price. The conference tables and
credenzas are of custom design due to the existing conference room configurations and space.
These custom tables will allow the maximum amount of people to be seated at one time. A
request for proposals for design and fabrication of these furnishings was posted as is required
by ordinance, but no responses were received. Other custom wood workers were contacted by
phone and e-mail, and two firms submitted complete proposal responses. Paul Downs
Cabinetmakers was selected based on the high quality design, lowest cost, and the content of
sustainable material.
The conference tables combine cherry wood, bamboo, and our custom city logo inlaid in the
center. Sustainable materials in this table consist of the cherry outer edge that has been grown
in the Allegheny National Forest, which carries Forest Stewardship Council certification. This
certification allows any consumer to recognize various wood products that are grown in an area
that supports the promotion of responsible forest management. The main portion of this table
will be made from bamboo, an unusual harvested lumber product that does not kill the tree and
allows re -growth to occur. These products support sustainable design and reduced
environmental impact.
The chairs that surround these conference tables are Cradle to Cradle Gold Certified Products
and Greenguard certified as a low emitting furniture product, two very distinguished awards
among five awards the chairs have received since their introduction into the consumer market.
Not only have these chairs been designed for human health, they are also endorsed by the
American Physical Therapy Association. This allows for ergonomic responsiveness to each
individual user. As for its sustainability, the chair is assembled using 100% wind power, made

with 58% recycled materials, and is 98% recyclable when the chair is no longer wanted. The
City is purchasing the highest quality chair for the best price through a U.S. Communities
contract, lowering the price approximately 60% from the normal consumer price.
Nearly half of the existing furniture will be donated to Joslyn Senior Center, a non-profit
organization within the City of Palm Desert, and the other half will be saved to furnish the
proposed new Office of Energy Management. Rather than throwing these furnishings away, two
great places can put them to good use.
These chairs, conference tables, and credenzas are presented here for approval and
procurement. Staff recommends that City Council declare the existing furnishings, the tables
and chairs in the North Wing Conference Room and Planning Conference Room as surplus
property, and authorize staff to donate the items to the non-profit organization, Joslyn Senior
Center. Sample color boards with photographs and materials will be available for your review in
the City Council conference room during the week of 11 September 2006.
