Recommendation By Minute Motion: 1. Ratify Amendment No. 1 to Contract No. A37730 with Quinn Co., Inc. in the amount of $46,551 for Fiscal Year (FY) 2019-2020. 2. Authorize extra work and services up to $15,000 for FY 2019-2020. 3. Authorize the City Manager to execute the second extension and all related documents, including extra work and services up to $15,000, for FY 2020-2021 when and if deemed appropriate by staff. Funds are available in R/M Buildings Account No. 1104330-4331000, Corporation Yard, 1104340-4331000, City Hall, and 2304220-4331000, Fire Stations. Strateqic Plan Performing services to the city -owned emergency generators is an ongoing operations function, and therefore not addressed in the Strategic Plan, General Plan, or City Manager Work Plan. Background Analvsis The Public Works Facilities Division oversees the maintenance of eight (8) emergency generators that are located at City Hall, Joslyn Senior Center, Corporation Yard and the three Fire Stations. In August 2018, an agreement for a term of one year with two one-year extensions was established with Quinn Company Inc. ("Quinn") to provide preventive maintenance services and annual tests (i.e. load bank test, transfer switch test, and/or fuel polishing service). Quinn is the only local vendor certified to perform these types of services. In May 2019, the City Manager approved the first extension at the current contract amount of $46,551. The extension aggregated with the original contract amount and extra work exceeds $50,000 in expenditures in a fiscal year; therefore, ratification of the extension is necessary. September 26, 2019 - Staff Report Ratify Contract No. A37731, Amendment No. 1 to Contract No. A37730 with Quinn Page 2 of 2 Due to the importance of maintaining the emergency generators in good and reliable working condition, staff recommends the approval of the annual preventive maintenance cost of the generators and requests authorization for the City Manager to approve the remaining second extension for FY 2020-2021, including extra work and services up to $15,000, when and if deemed appropriate by staff. ("Contractor"), entered into an agreement on August 15, 2018, for Preventative Maintenance to City -Owned Emergency Generators ("Agreement"), the parties wish to amend the Agreement effective July 1, 2019. NOW, THEREFORE, the parties agree as follows: A. Term is amended to add the following paragraph to the end of the existing section, as amended.
