Grant an exception to the bidding requirements, as provided for by Section 3.32.090 of the Municipal Code for FY17/18; and 2. Authorize the purchase of Rain Bird golf course irrigation supplies from High Tech Irrigation, Inc., of Indio, California, for Fiscal Year 2017-18, in the amount not to exceed $82,000; Contingent upon approval of the City's Annual 2017/18 Budget, funds will be available in Course and Grounds Expenses, Account No. 5204195-4803100. Staff Report Approval of Golf Course Irrigation Supplies For Desert Willow Golf Resort Page 2 of 2 June 22, 2017 Background The Desert Willow Golf Resort has a Rain Bird irrigation system on both golf courses that requires Rain Bird irrigation products. These products provide the everyday functionality of the system and productivity of the courses. Rain Bird Corporation has informed staff through the attached letter that High Tech Irrigation is the only distributor of Rain Bird Products. Due to an exclusive agreement with Rain Bird Corporation, on January 12, 2012, the City Council approved High Tech Irrigation, Inc., as the sole provider of Rain Bird golf course irrigation products in this region. The Desert Willow golf course superintendent is responsible for the determination of the need and use of the irrigation supplies. The actual quantities of golf course irrigation supplies purchased for Fiscal Year 2017/18 will be on an as-needed basis dependent on many factors directly related to the current irrigation system performance at the Desert Willow Golf Resort. Based on previous annual costs, staff estimates the amount from July 1, 2017, through June 30, 2018, to be $82,000. Fiscal Analysis This is an on-going purchasing activity with no fiscal impact beyond the annual cost of the supplies, which has been budgeted in FY 17/18. Authorize staff and the Desert Willow Golf Resort to negotiate with High Tech Irrigation for the purchase of golf course irrigation supplies for FYE 2012 in an amount not to exceed the approved budget; (Contract No. C31470) 2. Determine the golf course irrigation supplies must be sole sourced; and 3. Authorize the City Manager to execute the contract. Funds are available in Desert Willow Fund 520. Background The Desert Willow Golf Resort has an existing Rain Bird irrigation system on both golf courses. Fiscal Analysis The actual quantities of golf course irrigation supplies purchased for FYE 2012 will be on an as-needed basis dependent on many factors directly related to the current irrigation system performance at the Desert Willow Golf Resort. The projected cost for these supplies is $33,000.00. The Desert Willow golf course superintendent is responsible for the determination of the application and use of the irrigation supplies.
