STAFF REPORT
REQUEST: AUTHORIZE BIDDING FOR THE PURCHASE AND INSTALLATION OF
REPLACEMENT CARPET IN THE DESERT WILLOW CLUBHOUSE,
AND AUTHORIZE THE CITY MANAGER TO AWARD THE CONTRACT
IN AN AMOUNT NOT TO EXCEED $100,000

Recommendation
By Minute Motion:
1. Authorize bidding for the purchase and installation of replacement carpet in
the Desert Willow Clubhouse;
2. Authorize the City Manager to award the project to the lowest responsive
bidder in an amount not to exceed $100,000; and
3. Authorize the City Manager to execute any documents necessary to award
the project.
Funds are budgeted for Fiscal Year 2017-2018, and are available in Account No. 4414195-
4809200.
Strategic Plan Objective
On-going maintenance of the Desert Willow clubhouse sustains one of the City's premier
recreational facilities. The Parks and Recreation Priorities 1 and 3 goals are highlighted with
this project. The Priority 1 goal mandates that facilities will be maintained in a high-quality
state. By preserving and enhancing this facility, Priority 3 will attract more visitors and
encourage exercise opportunities through golf.
Background
The carpet located in the Desert Willow Golf Shop, Cook's Grill, the Willow's room, and
administrative offices was last replaced in the summer of 2007. Due to the heavy volume of
traffic in these areas, the carpet is in need of replacement. The square footage of these
areas is approximately 9,000 square feet.
The carpet will be selected using input from a licensed interior designer, KemperSports
management, and the Desert Willow President's Committee to meet Desert Willow's brand
quality standards as well as the necessary durability for such a busy facility. Once the carpet
has been selected, the project will be posted and subsequently awarded to the lowest
responsive bidder.

It is staffs intent to bid and award the carpet replacement project during the summer months,
and to have the installation complete in time for the reopening Of the golf courses following
overseeding. Therefore, staff is requesting authorization for the City Manager to award the
project to the lowest responsive bidder, and to execute any documents necessary to award
the project.
Fiscal Analysis
There is no fiscal impact beyond the cost of the carpet and installation.
