SCAG General Assembly: City Delegate Representative Dear City Clerk, To date, SCAG has not received any communication from your City regarding your City Council appointment to SCAG's General Assembly, scheduled for May 5 — 6, 2016, at La Quinta Resort & Spa. If your City Council has appointed a Delegate and/or Alternate Representative, please email me a copy of your City Council's action (either in the form of a Minutes excerpt or Resolution) regarding the appointment. As a Voting Member of the General Assembly, your Delegate (or Alternate, in the absence of the Delegate) will receive one complimentary registration to SCAG's Regional Conference and General Assembly; and a complimentary one-night hotel accommodation at La Quinta Resort on Thursday, May 5. Please confirm attendance so we may secure a one-night hotel accommodation at La Quinta. The General Assembly Packet will be sent to all Delegates so please send me the name of your City Delegate as soon as possible. From: Tess Rey-Chaput Sent: Friday, 3anuary 15, 2016 4:01 PM To: Tess Rey-Chaput Subject: SCAG General Assembly: City Delegate Rep and Call for Resolutions Dear City Clerk, Each year, your City Council appoints a Delegate and Alternate Representative to the Southern California Association of Governments (SCAG) General Assembly (GA). If you have not done so, please send me a copy of your City's action appointing your City Delegate/Alternate Representative no later than Friday, March 18, 2016. If you have identified your City Delegate and Alternate Representative to the GA, the deadline to submit proposed Resolutions and/or SCAG Bylaws revisions, as further described below, is Friday, February 5, 2016. In their capacity as a General Assembly Delegate, they will have the opportunity to propose any policy matter for determination by the General Assembly in the form of a proposed Resolution and/or to propose revisions to the SCAG Bylaws. All proposed Resolutions and/or Bylaws revisions will be reviewed by SCAG's Bylaws and Resolutions Committee and Regional Council before being considered at the May 5, 2016 Regional Conference and General Assembly meeting. This year's Regional Conference and General Assembly is scheduled for May 5 — 6, 2016 at La Quinta Resort & Club, 49-499 Eisenhower Drive, La Quinta, CA 92253. Each GA Delegate (or Alternate, in the absence of the Delegate) will receive one complimentary registration to SCAG's Regional Conference and General Assembly; and a complimentary one-night hotel accommodation at La Quinta Resort on Thursday, May 5. The conference will include keynote speakers and panel discussions, an Award's Luncheon, sponsors reception and many excellent networking opportunities with fellow elected officials, VIPs and stakeholders from throughout Southern California. Cc: Stanley, Jane Subject: SCAG General Assembly Meeting Agenda Dear Delegates: The General Assembly of the Southern California Association of Governments will meet on May 5, 2016 at 11:00 am at the La Quinta Resort in La Quinta, CA. The General Assembly meets in conjunction with SCAG's Regional Conference as the annual opportunity to bring the agency's entire membership together. The Regional Conference includes panel discussions on topics of interest to the SCAG region, featured speakers and many networking opportunities. To access the draft program, please visit: http://www.scag.ca.gov/calendar/Pages/GA2016.aspx City Delegate / Alternate Due to the large number of City Delegates, we are providing you with additional information on what to expect on the day of the meeting, including voting instructions and other logistical information. If you are unable to attend, please pass this information along to your Alternate and notify us to ensure they are properly registered in the conference. General Assembly Meeting The General Assembly meetings heduled for Thursday, May 5, at 11:00 AM, in the Flores Ballroom. At this meeting, the Delegates will vote with an electronic voting device. When you check in at the General Assembly registration booth, you will receive voting instructions. If both Delegate and Alternate are attending for your city, g"I the Delegate may cast a vote. Regional Council Meeting Prior to the General Assembly Meeting, there will be a Regional Council Meeting on Thursday, May 5 at 9:15 AM, in the Flores Ballroom. As a GA Delegate, you are welcome to attend the Regional Council Meeting. However, if you are not a member of the Regional Council, you should not cast a vote on matters which come before the Regional Council. Hotel Information As a General Assembly Delegate, your registration is complimentary, as well as one (1) night of hotel accommodation at La Quinta Resort & Spa. If you have not done so, please contact Tess Rey-Chaput at REY@scag.ca.gov or (213) 236-1908 to confirm your attendance and your hotel room accommodations. Resort wear is encouraged for the duration of the conference. Please extend the invitation to your City Manager and fellow Councilmembers to attend the General Assembly at no cost for registration.
