Said Study Session will be held in order to discuss potential upgrades to audio/visual equipment in both the Council' Chamber and the Administrative Conference Room with the City's consultant, K2 Audio, LLC. The Study Session will convene in the Administrative Conference Room and, at the appropriate time thereafter, may move into the Council Chamber for related discussion. Results in erratic, audio levels and overall system instability (feedback)., — Solution: Reprogram existing audio system.digital signal processor (DSP),-and re,-tune/adjust system settings accordingly. - J%%AUDIO 6/22/2010 Financial Cost: $5,060 3 Audio System Issues • Audio System Intelligibility — Issue: System has seriousintelligibility issues related to, microphone and loudspeaker placement. Too many unfocused loudspeakers for the space create a poor and unintelligible listening environment. — Solution: Provide new Dais loudspeakers for Council and staff members, add new directional loudspeakers_ in Chamber over audience, and remove/abandon all existing loudspeakers as needed. Reprogram DSP systems. ((JAUDIO 6/22/2010 Financial Cost: $25,000 (includes previous) . n Audio System Issues • Wireless Microphone Systems — Issue: Wireless microphone systems are outdated and may not be compliant with new 700MHz FCC regulations. — Solution: Provide two (2) new 600MHz FCC compliant wireless microphone systems. AUDIO 6/22/2010 Financial Cost:,$2,500 E Audio System Issues RF Tolerant Gooseneck Microphones — Issue: Existing Dais and Podium -gooseneck microphones are not RF tolerant for GSM handheld devices such as Blackberry, Whone, etc. ' — Solution: Replace all microphones with new RF tolerant models: Replace all old wiring with new more RF tolerant/shielded cable. Microphone manufacturer offers trade-in credit for �/�� new RF tolerant microphones to reduce expense. I(JAUDIO Financial Cost: $1,000 6/22/2010 N 6/22/2010 Audio System Issues • Outdated miscellaneous equipment — Issue: Existing miscellaneous, audio equipment is.old and'may become prone to failure. Much of existing equipment is no longer manufactured and not capable of repair. — Solution: Replace all.various miscellaneous audio equipment such as distribution amplifiers, splitters, isolationtransformers, etc. with new current make/model devices. AUDIO Financial Cost: $4,500 7 Audio System Issues • No remote listening capabilities — Issue: Staff currently doesn't have the ability to monitor council meetings or other proceedings in the chamber unless physically present. — Solution: Supply new audio streaming device in the audio system equipment rack. To be start/stopped remotely or scheduled as needed. Audio available internally only. AUDIO Financial Cost: $1,500 — $4,500 depending on configuration 6/22/2010 E Recording and Transcription Issues • Outdated recording and transcription equipment — Issue: Existing Lanier analog cassette deck•has been discontinued by manufacturer and cassette tapes are no longer- readily available. Limited distribution of recorded audio. — Solution: Replace with new digital recording device and place device on City of.Palm Desert intranet for simple transcribing and archiving of -council meetings and other sessions. - AUDIO a 6/22/2010 Financial Cost: $4,000 P Control System Issues • Outdated components — Issue: Existing AMX control system components are outdated and no longer supported by the manufacturer. Control system programming is overly complex and not aligned with the requirements of City staff. - — Solution: Replace AMX control system components with new current equipment andreprogram control: system and touch panel graphic user interface. Results in dim projection and poor color rendition. — Solution: Replace projector lamp (may include cage assembly). %AUDIO Financial Cost: $1,500 6/22/2010 12 Video.System_Issues • Low screen resolution (acuity) — Issue: Existing video 'infrastructure and equipment is limited to VGA (800x600)resolution by outdated components. Results in poor image quality and image shift. — Solution: Replace video system infrastructure and components with new high resolution capable devices. Includes new HD projector, switching devices, and cabling. Would'include desktop screens for each council member. AUDIO 6/22/2010 Financial Cost: $50,000, ,$60,000 13 Video System Issues • Analog only infrastructure/components — Issue: Existing, video infrastructure and equipment is limited to analog signals only. Analog is being phased out currently and soon video equipment sold in the U.S. will not_have analog ports. Could result in inability to present'to council with a laptop. — Solution: Replace video system infrastructure and components with new digital devices. Includes new HD. projector, switching devices, and cabling._ Cost would depend on features. I,( �JAUDIO Financial Cost: $60,000 - $75,000* *NOTE: NOT IN AMMON TO PREVIOUS AIDE 6/22/2010 Fri I Video System Issues___ • Shaking of overhead document camera — Issue: Existing ceiling document camera shakes when shown on the projection screen: This is a result of building vibration transferred to the mount —due to HVAC units on roof. —Solution: Option A Replace camera and mount with new vibration isolated mount (and with' camera with stability. control). —Solution: Option B Abandon the use of this camera and require all presenters to use laptop, computer, or small format documents. Room • Audio System'Upgrade — Issue: Room acoustics make general meetings and discussion difficult. — Solution: Provide new portable digital conferencing system with 9 standard base stations. and 1 chairman.base station.
