REQUEST: CONSIDERATION OF SPONSORSHIP FOR THE 2003 PALM
DESERT GAMES (SENIOR OLYMPICS)
DATE: FEBRUARY 13, 2003
CONTENTS: 2003 PROPOSAL AND SPONSORSHIP PACKET
Recommendation:
By Minute Motion, endorse the concept of the Palm Desert Games, a regional event
sanctioned by the Senior Olympics Committee and support it financially in an amount of
$26,000.00 to be appropriated from the unobligated general fund to account number 110-
4416-414-3061 .
Executive Summary:
For the past two years the Coachella Valley Recreation and Parks District has assumed
responsibility for production of the regional Senior Olympic Games, which are called the Palm
Desert Games. Approval of this request will allow these regional games to move forward with
the goal of hosting the State games in 2004.
Background:
Two years ago the Coachella Valley Recreation and Parks District assumed responsibility for
organizing and producing the regional Senior Olympic Games. The third annual Palm Desert
Games are scheduled to be held at various venues throughout the City of Palm Desert,
February 20-23, 2003. Activities include ballroom dancing, swimming, golf, track and field,
tennis, volleyball, race walk, softball, lawn bowling, and bowling. Hosting the regional games
will provide a great deal of visibility to the City of Palm Desert as they enjoy active
participation by almost 1 ,000 individuals from throughout the country. Based on last year's
attendance and the interest demonstrated by past participants in returning to Palm Desert, it
is anticipated that the 2003 Games will enjoy the highest attendance of any regional games
in the State of California. In addition, upon the completion of the 2003 Regional Games, Palm
Desert will become eligible to host the State games in the year 2004, which will attract even
a broader audience to the City. The individuals participating in the Senior Games, along with
the family members who accompany them to the desert, will be staying in the City for at least

a week and there will be plenty of opportunities for them to enjoy Palm Desert's
accommodations, shopping opportunities, and eat in local restaurants between organized
activities and functions. Palm Desert's visibility and the potential for many return trips to this
area by the individuals and families that this event brings to the desert makes this a valuable
investment of the City's sponsorship dollars.
Attached is the sponsorship package along with a proposal that the Coachella Valley
Recreation and Parks District distributes to potential sponsors. A C.V.R.P.D. representative
will be present at the Council Meeting to answer any questions regarding Senior Game
activities, current sponsorships, organizational issues, and future plans for this activity. Last
year's request forfunding was in the amount of$20,000,and the increase amount requested
over last year is to accommodate the increase in golfing fees.
No other funding or services is being requested. Therefore, staff recommends that the
Council appropriate an amount of$26,000.00 to purchase a sponsorship for the 2003 Palm
Desert Ga es from the unobligated general fund to account number 110-4416-414-3061.

PALM DESERT SENIOR GAMES... FOR THE YOUNG AT HEART
January 13, 2003
Members of the City Council
City of Palm Desert
43-000 San Pablo Avenue
Palm Desert, CA. 92260
Dear Honorable Members:
In the past the City of Palm Desert has served as the title sponsor of the Palm Desert
Senior Games for a donation of$20,000. The games have much needed community
support and as well as local sponsorships.
During our preliminary meetings with City staff, an estimated cost for the golf at Desert
Willow was given at around $45 to $50 per player. Meetings continued and the
applications including cost per event were sent out. The fee for using Desert Willow on
February 20, 2003 for golf activities is now calculated at $90 per player, which creates a
deficit of$6,000.
It is our understanding that it is not possible to lower the fees charged to Senior Games
for golf since Kemper is independently run. Therefore, we are approaching the Council
with a request for a sponsorship of 26,000 to offset this new expense.
We truly hope the Council will continue to support and act as title sponsor of this widely
attended event. Please contact me at 760-347-3484 for any further information
necessary.
Sincerely,
Justin Yard
Special Events Coordinator
