of Palm Desert Annual Picnic

Recommendation:
By Minute Motion, waive fees associated with the Historical Society of Palm Desert's third
annual "Ed Mullins Picnic In The Park" scheduled to be held on Sunday, March 28, 2004,
at Pavilion #1 at the Palm Desert Civic Center Park.
Executive Summary:
The Historical Society of Palm Desert is a nonprofit organization dedicated to providing the
community with information about Palm Desert history. Each year they host a picnic in
honor of former Palm Desert Mayor Ed Mullins to allow the diverse members of this
organization to meet and socialize.
Background:
The Historical Society of Palm Desert has scheduled its fourth annual "Ed Mullins Picnic
In The Park" in Pavilion #1 at the Civic Center Park to express its appreciation to the
individuals and organizations that support its many programs throughout the year as listed
in the attached correspondence and to provide an opportunity for its members to meet in
an environment conducive to the goals of this organization. Historical Society volunteers
will set up the event and will clean up afterwards, and City staff will be on site the day of
the event to provide extra waste receptacles and assist event organizers. Since this event
is held for the benefit and pleasure of members and associates of the Historical Society
of Palm Desert, and is free to its members, event planners are requesting that the required
fees be waived, which include a reservation fee of$100.00 and one maintenance worker
for seven hours at $40.00 per hour for a total consideration of$380.00. Staff recommends
approval of this request, which is to waive the fees associated with this event on March 28,
2004, at a total cost of $380.00.

Dear Ms. Scully:
This letter is a confirmation of the telephone reservation made by Dick
Folkers for use of the Pavillon in Civic Center Park for our fourth annual
"Picnic in the Park" being held Sunday, March 28, 2004. Our volunteers
will start setting up around 10 a.m. and clean up about 5 p.m.
Due to our nonprofit 501 (c)(3) classification, we request waiver of fees
for reservation of the large Pavillion. We are planning to have speakers,
and any assistance you can offer in providing a public address system
would be appreciated.
Carol Cole is Events Chairman (341-2677) and Barbara Keedy Eastes is
Food Chairman. (568-4317). The event is planned for the enjoyment of
Society members and their guests and not as a fund raiser.
