HomeMy WebLinkAboutWaiver of Fees 2002 Historical Society Annual Picnic CITY OF PALM DESERT COMMUNITY SERVICES DEPARTMENT STAFF REPORT REQUEST: REQUEST FOR WAIVER of fees associated with Historical Society of Palm Desert Annual Picnic DATE: October 11, 2001 CONTENTS: Letter of Request From the Historical Society of Palm Desert Use of Facility Application Recommendation: By Minute Motion, waive fees associated with the Historical Society of Palm Desert's annual picnic scheduled to be held on Sunday, March 3, 2002, at Pavilion #1 at the Palm Desert Civic Center Park. Executive Summary: The Historical Society of Palm Desert is a nonprofit organization dedicated to providing the community with information about Palm Desert history. Each year they host a picnic to allow the diverse members of this organization to meet and socialize. Background: The Historical Society of Palm Desert has scheduled its second annual potluck at the Civic Center Park to express its appreciation to the individuals and organizations that support its many programs throughout the year as listed in the attached correspondence and to provide an opportunity for its members to meet in an environment conducive to the goals of this organization. Historical Society volunteers will set up the event and will clean up afterwards, and City staff will be on site the day of the event to provide extra waste receptacles and assist event organizers. Since this event is held for the benefit and pleasure of members and associates of the Historical Society of Palm Desert, and is free to its members, event planners are requesting that the required fees be waived, which include a reservation fee of $100.00 and one maintenance worker for seven hours at $40.00 per hour for a total consideration of $380.00. It is to be held for the enjoyment of Society members and their guests.They will be asked to bring their own food and the Society will provide cold drinks, coffee and dessert. It is strictly a social event, not a fund raiser. We are a nonprofit 501(c)(3) organization dedicated to providing the community with infor- mation about Palm Desert history, which is provided through the systematic collection and preservation of relevant materials. These include an archival collection of newspaper and magazine items, personal letters, legal documents, and historical photos. We also keep an oral history of early settlers, magazine collections, and set up exhibits for the public. The Society coordinates the annual Mini-Muster fire safety program for the third graders in four of the local public schools. We would probably need the pavilion beginning at 10:30 a.m. to give us time to set up and be ready for the participants at noon. By the time people were ready to leave and to give us a chance to clean up the area, it should be 5:00 p.m. at the latest. We are planning to have speakers, so any help you might be able to give us in providing a public address system would be appreciated. If you would check the two possible dates (as shown above) against the master schedule for community activities to avoid any major conflict, it would be greatly appreciated. The Historical Society of Palm Desert is asking that the fees be waived due to our nonprofit status. If you need further information, call the office at 346-6588 or me at 340-0828.
