HomeMy WebLinkAboutWaiver of Fees 2001 Historical Society Annual Picnic -71 [TY OF PALM DESE , " MEMORANDUM To: Honorable Mayor and Members of the City Council From: Community Affairs Specialist Date: January 11, 2001 Re: WAIVER OF FEES ASSOCIATED WITH HISTORICAL SOCIETY OF PALM DESERT ANNUAL PICNIC Recommendation: By Minute Motion, waive fees associated with the Historical Society of Palm Desert's annual picnic scheduled to be held on Sunday,March 4,2001, at Pavilion#1 at the Palm Desert Civic Center Park. Background: The Historical Society of Palm Desert has scheduled a potluck at the Civic Center Park to express its appreciation to the individuals and organizations that support its many programs throughout the year as listed in the attached correspondence. This organization has requested that the registration and clean up fees be waived for this event. Historical Society volunteers will set up the event and will clean up afterwards and City staff will be on site the day of the event to provide extra waste receptacles. Since this event is held for the benefit and pleasure of members and associates of the Historical Society of Palm Desert, event planners are requesting that the required fees be waived. Staff recommends approval of this request,which is to waive the fees associated with this event on March 4, 2001, at a total cost of$75.00. Members and their guests would be invited to participate, bringing their own food and the Society will provide cold drinks. This would be a social for the enjoyment of those who show their appreciation of the Society and its work by paying membership dues each year. It is not a fund raiser. We are a nonprofit 501(c)(3) organization dedicated to providing the community with infor- mation about Palm Desert history, which is provided through the systematic collection and preservation of relevant materials. These include an archival collection of newspaper and magazine items, personal letters, legal documents, and historical photos. We also keep an oral history of early settlers, magazine collections, and set up exhibits for the public. The Society coordinates the annual Mini-Muster fire safety program for the third graders in four of the local public schools. Sunday, March 4 would be a desirable date for this activity. We would probably need the pavilion beginning at 10:30 a.m. to give us time to set up and be ready for the participants at noon. By the time people were ready to leave and to give us a chance to clean up the area, it should be 5:00 p.m. at the latest. We are planning to have speakers, so any help you might be able to give us in providing a public address system would be appreciated. The Historical Society of Palm Desert is asking that the fees be waived due to our nonprofit status. If you need further information, call the office at 346-6588 or me at 340-0828.
