HomeMy WebLinkAboutCD Imaging of Finance Department DocumentsCITY OF PALM DESERT FINANCE DEPARTMENT STAFF REPORT 4116-\ REQUEST: APPROVAL OF CD IMAGING OF FINANCE DEPARTMENT ACCOUNTS PAYABLE, CASH RECEIPTS, BANK RECONCILIATIONS, BUSINESS LICENSE FILES, LEDGERS AND JOURNALS DATE: AUGUST 26, 2004 CONTENTS: CALIFORNIA CD IMAGING QUOTE Recommendation: By Minute Motion: 1) Approve the CD imaging of Finance Department 1999-2001 accounts payable, cash receipts, bank reconciliations, business license files, ledgers and journals, and 2) Authorize California CD Imaging to perform the CD imaging of said documents. Background: The Finance Department requests that the 1999-2001 accounts payable, cash receipts, bank reconciliations, business license files, ledgers and journals be CD imaged in order to vacate file cabinets that will be moved to make space available for staff. California CD Imaging can image said documents at the following rates: Accounts Payable Cash Receipts Bank Receipts Document Preparation Shredding of Documents $.015 per page $.014 per page $.014 per page $0.02 per page $0.003 per page It is staffs recommendation that the City Council approve the imaging of the above mentioned Finance Department records and authorize California CD Imaging to perform the CD imaging of said files. With this estimate, it will cost roughly $16,000 - $17,000 to scan. If the city does want us to shred the documents, we can do that also at $0.003 per page or $300. The cost for each section remains the same at: Accounts Payable $0.15 per page Cash Receipts $0.14 per page Bank Receipts $0.14 per page Document prep $0.02 per page If you have any questions, please feel free to call.
