REQUEST: REQUEST FOR WAIVER of fees associated with Historical Society
of Palm Desert Annual Picnic

Recommendation:
By Minute Motion, waive fees associated with the Historical Society of Palm Desert's fifth
annual "Ed Mullins Picnic In The Park" scheduled to be held on Sunday, March 20, 2005,
at Pavilion #1 at the Palm Desert Civic Center Park.
Executive Summary:
The Historical Society of Palm Desert is a nonprofit organization dedicated to providing the
community with information about Palm Desert history. Each year they host a picnic in
honor of former Palm Desert Mayor Ed Mullins to allow the diverse members of this
organization to meet and socialize.
Background:
The Historical Society of Palm Desert has scheduled its fifth annual "Ed Mullins Picnic In
The Park" in Pavilion #1 at the Civic Center Park to express its appreciation to the
individuals and organizations that support its many programs throughout the year as listed
in the attached correspondence and to provide an opportunity for its members to meet in
an environment conducive to the goals of this organization. Historical Society volunteers
will set up the event and will clean up afterwards, and City staff will be on site the day of
the event to provide extra waste receptacles and assist event organizers. Since this event
is held for the benefit and pleasure of members and associates of the Historical Society
of Palm Desert, and is free to its members, event planners are requesting that the required
fees be waived, which include a reservation fee of $100.00 and one maintenance worker
for seven hours at $40.00 per hour for a total consideration of $380.00. Staff recommends
approval of this request, which is to waive the fees associated with this event on March 20,
2005, at a total cost of $380.00.

Dear Pat:
This letter will confirm the r eservation of Sunday, March 20, 2005 for the "Ed Mullins
Annual Picnic in the Park".This event is a social gathering for our members, their
families and friends, and not considered a fund raiser.
As a 501(c)(3) nonprofit organization we request waiver of fees for reservation of the
large Pavilion in Civic Center Park. Setup would commence at 9:00 a.m. in order to
be ready for the 11:00 a.m. "social hour" and Noon lunch. Tear down and cleanup
should be completed no later than 5:00 p.m.
You were so thoughtful last year in providing transportation to and from the Pavilion for
our senior members, we would request this service again, if possible.
