Recommendation:
By Minute Motion;
1. Move Contingency for Contract C22380 in the amount of
$1,854.35 to base amount.
2. Approve expenditure of $7,910.00 from accounts 110-4610-
453.33-20,110-4611-453.33-20, 110-4611-453.33-70 and 110-
4611-453.33-71.
3. Approve Change Order #1 with TruGreen Landcare (Upland,
CA) in the amount of $7,910.00 including contingency for the
City Wide Tree Pruning Project (Project 933-)X).
Discussion:
As part of the City's urban forest management, various trees are pruned to facilitate
good growth and correct potential public safety issues. This work is done through
contract and the price is based on the number and size of trees and, the type of work to
be done. Most trees are pruned on a three-year rotation, with a few species needing
more frequent pruning. As part of the contract work an ISA certified arborist inspects the
trees to be pruned. It is common for this inspection process to uncover additional trees
that need work. If this occurs, City staff inspects the trees and, may approve the work.

Since this is a yearly maintenance program, funds for this work including additional
work, are allocated during the budget process.
Consequently, on February 26, 2004, staff requested and City Council awarded
Contract No. C22380 to TruGreen Landcare for the City Wide Tree Pruning Program, in
the amount of $18,543.50.
During the execution of this contract, staff identified fifty-nine (59) trees that required
pruning that had not been listed on the original pruning list. City staff reviewed these
trees and approved the needed work. The work was approved to mitigate safety and
clearance issues and unexpected growth, which increase the chances for wind damage.
Also identified during the pruning program, were twenty-two (22) trees that required
removal due to a high potential for structural failure as a result of wind, sunburn and,
insect damage.
Funds are currently available in the landscape accounts: 110-4610-453.33-20, 110-
4611-453.33-20, 110-4611-453.33-70 and 110-4611-453.33-71.
Therefore, the staff recommends that City Council approve Change Order #1 to
Contract No. C22380 for $7,910.00.
