TWEDT, PUBLIC ARTS MANAGER DATE: NOVEMBER 18, 2004 Recommendation: By Minute Motion, permit the possession and serving of wine in connection with the opening receptions to be held in the North Wing Gallery on December 14, 2004, for the Helene Berman and J. Keith Stone exhibition, and February 15, 2005, for the Art of Surviving Cancer exhibition. Executive Summary: With each new North Wing Gallery exhibition the Public Art Department hosts a reception for the featured artist(s). The Helene Berman and J. Keith Stone exhibition will open December 9, 2004, and will have an opening reception on December 14 from 5:30 - 7:00 pm. The Art of Surviving Cancer exhibition will open on February 10, 2005, with a opening reception on February 15 from 5:30 - 7:00 pm. In order to serve wine on City owned property, the City Council must grant a variance from the prohibition of the consumption of alcoholic beverages. These two exhibitions are the last of the 2004/2005 fiscal year, and the 2004/2005 North Wing Gallery, season that will require City Council's approval for the consumption of alcohol. There will be no wine served at the two remaining exhibition receptions in fiscal year 2004/2005, as the exhibitions are the Student Art and Essay Contest (April 7 — May 26, 2005) and the Employee Art Show (June 2- July 21, 2005). Staff Report Approval to serve alcohol at North Wing Gallery openings November 18, 2004 Page 2 As per City Council's request, in July 2005, the full 2005/2006 fiscal year North Wing Gallery season of exhibitions will be submitted for approval with one staff report. Background: The North Wing Gallery was established to showcase local and unique artworks by both individuals and organizations. With each new exhibition a reception is held to promote the artwork and City programming. Events are usually an hour and a half in length with food and wine served throughout. Staff recommends that the City Council permit the possession and consumption of alcoholic beverages for the receptions scheduled in the North Wing Gallery to be held on December 14, 2004 and February 15, 2005.
