ADMINISTRATIVE CONFERENCE ROOM ************************************************************ I. CALL TO ORDER The meeting was called to order at 6:05 p.m. II. ROLL CALL Present Nick Asbury Daniel Batalles Tarah Fenelon Elliott Smith (left at 6:40 p.m.) Nick Talboys (arrived at 6:20 p.m.) Absent Kayleigh Hyde Erika McQuillen Michelle Stein Staff Present Pat Scully, Senior Management Analyst Rachelle Klassen, City Clerk PALM DESERT YOUTH COMMITTEE OCTOBER 5, 2004, ' MEETING MINUTES PAGE 2 III. CONSENT CALENDAR A. Approval of the September 14, 2004, meeting minutes Upon a motion by Member Nick Asbury and second by Member Elliott Smith, the Consent Calendar was approved as presented. Motion carried by unanimous vote. IV. NEW BUSINESS A. Regular/Special Meeting Schedule For Remainder of 2004 Pat Scully reviewed upcoming Committee activities as well as meetings that will be needed to plan these events and distributed sign up sheets. Upcoming meetings were scheduled for: 1. November 2, 2004 - Election Night activities from 5:00 p.m. - 9:00 p.m. at City Hall 2. November 16, 2004 - Meeting at the JW Marriott Resort to review logistics for the upcoming community tree lighting ceremony at 4:00 p.m. followed by dinner and card decorating work session at City Hall 3. November 23, 2004 - Community Tree Lighting Ceremony at the JW Marriott Resort from 5:00 p.m. - 9:00 p.m. 4. December 7, 2004 - Regular Youth Committee meeting at 6:00 p.m. at City Hall. Topic of discussion will be to plan the Holiday Party at Hacienda de Monterey. 5. December 11, 2004 - City Committee/Commission Holiday Party beginning at 7:00 p.m. at Desert Willow. 6. December 14, 2004 - Holiday Party at Hacienda de Monterey from 6:00 p.m. to 7:00 p.m. V. CONTINUED BUSINESS A. Holiday Party (form activity subcommittees, and establish working session to prepare) Ms. Scully reported that the Hacienda de Monterey staff has requested PALM DESERT YOUTH COMMITTEE OCTOBER 5, 2004, ' MEETING MINUTES PAGE 3 **************************************************************************************************** that the holiday party be held 6:00 p.m. - 7:00 p.m. on Tuesday, December 14, 2004. The December 7, 2004, Committee meeting will be devoted to planning this party, which Member Asbury agreed to chair. VI. OLD BUSINESS None VII. INFORMATIONAL ITEMS A. November 2, 2004, Meeting Activities Relative To Participation In The National Election 1. Oral Report by Palm Desert City Clerk Rachelle Klassen City Clerk Rachelle Klassen reviewed the types of assistance that will be needed on November 2, 2004, in conjunction with the national election. She reminded the Committee to dress appropriately and that assistance will be needed answering telephones, giving directions to callers regarding their polling place, verifying voter registration, answering general information questions regarding the election, accepting ballot boxes, shuttling voters from the parking lot to the polling places at City Hall, etc. After the polls close, accept, count, and certify polling place boxes, etc. 2. KMIR Interviews, etc. Ms. Scully informed the Committee that KMIR-TV intends to broadcast live from Palm Desert City Hall on November 2nd and will possibly be interviewing members of the Committee. B. Palm Desert Youth Committee/Desert Springs Holiday Tree Lighting Ceremony 1. November 23, 2004, 5:00 p.m. to 8:00 p.m. Ms. Scully advised the Committee that this activity has been PALM DESERT YOUTH COMMITTEE OCTOBER 5, 2004, ' MEETING MINUTES PAGE 4 **************************************************************************************************** scheduled for the time and date indicated at the JW Marriott. 2. KMIR Coverage Ms. Scully advised the Committee that KMIR TV will be broadcasting this activity live and Committee members should be prepared to possibly be interviewed. 3. Proposed Activities Ms. Scully advised that due to the volume of activities planned for the Committee between now and the end of the year, this subject will be continued until that time. Member Asbury suggested that a type of "get out the vote" program be developed. While it is a bit late for this election, this is something that will be pursued as a priority in the future. C. Listing of Potential Projects For Future Action The list will be provided at a later date. D. Open Alternate Positions On Committee Ms. Scully stated that there are alternate positions on the Committee available and added that if Committee members know of anyone who is interested in serving to have them apply. VIII. REPORTS AND REMARKS Member Tarah Fenelon inquired if she should provide a report on her experiences at the League of California Cities Conference and Ms. Scully responded that she would be requested to provide that report when the Committee meets with the City Council after the first of the year. Ms. Scully reminded the Committee that Lori Wimbish has been reassigned and no longer has any responsibilities associated with the Committee. ADJOURNMENT Upon a motion by Member Nick Talboys and second by Member Daniel Batalles, the meeting was adjourned at 6:50 p.m. Motion carried by unanimous vote.
