(Project 904-06) SUBMITTED BY: H. Spencer Knight Landscape Manager CONTRACTOR: Pac West Land Care II, Inc. 2000 Executive Drive Palm Springs, CA 92264 DATE: June 8, 2006 CONTENTS: Contractor's Proposal Agreement Addendum No. 1 Vicinity Map Recommendation: By minute motion, waive the bid documents' irregularity and award Contract No. 25230 for landscape maintenance services in Landscape Maintenance Area No. 4 to Pac West Land Care II, Inc. of Palm Springs, California in the amount of $111,084.00. Executive Summary: This maintenance area is comprised of street medians located at the north half of the City of Palm Desert. Bids were opened and read aloud on May 22, 2006 for landscape maintenance services for Landscape Maintenance Area No. 4, with the following results: Pac West Land Care II, Inc. Vintage Associates, Inc. Garza Landscaping, Inc. Kirkpatrick Landscaping Services, Inc. (Palm Springs, CA) (Bermuda Dunes, CA) (Indio, CA) (Indio, CA) $111,084.00 $127,140.00 $141,360.00 $146,880.00 Staff reviewed Pac West Land Care II, Inc.'s bid proposal and determined that the bid requirements have been met, with the exception of one irregularity. If a Award Landscape Maintenance Area No. 4 to Pac West Land Care II, Inc. Page 2 of 2 June 8, 2006 sub -contractor is to be used, the bid specifications require that the sub -contractor be listed in the bid documents. Pac West Land Care 11, Inc. did not specifically provide a sub -contractor list, but instead provided a copy of the sub -contractor's license. Pac West has provided acceptable landscape maintenance services for the City of Palm Desert in the past. Therefore, it's the staff's opinion that this irregularity will not affect the contractor's performance. Funds are available in account 110-4614-453.33-70. Therefore, staff recommends that City Council, by minute motion, waive the aforementioned bid documents' irregularity and award Contract No. C25230 to Pac West Land Care 11, Inc. of Palm Springs, CA in the amount of $111,084.00 for landscape maintenance services for Landscape Maintenance Area No. 4.
