REQUEST: Approve City Sponsorship of the Desert Willow Ten -Year Palm Desert
Resident Celebration at Desert Willow on May 15, 2007

Recommendation: By Minute Motion:
1. Approve the City's Sponsorship of the Desert Willow Ten -Year Palm Desert Resident
Celebration at Desert Willow on May 15, 2007, in an amount not to exceed $22,000;
2. Approve an amount not to exceed $4,000 for residents to be invited to the lunch
following the golf event.
3. Appropriate $26,000 from Account No. 110-4416-414-3061;
Background:
In February, 1997, Desert Willow opened its first golf course for play. The second golf
course was opened for public play in October, 1998.
The 10-year celebration will celebrate Desert Willow's success during its first ten years of
operation and is an opportunity to thank Palm Desert residents for their support.

The plan for the day is to host 250 Palm Desert residents to a day of golf, a continental
breakfast, and barbecue lunch, and to also invite Palm Desert residents to a barbecue after
the golf play.
One of the requirements for those invited to play golf is that they have a current Resident
Card. The attached memorandum from Rodney Young details the event and how the
golfers will be selected.
Desert Willow is proposing that the facility be closed for outside play in order to host this
event.

RE: 10-Year Anniversary Golf Tournament for Residents
Dear Carlos,
The following is an outline of how we plan on making the 10-Year Celebration for
the Residents both exciting and cost effective:
What will take place on Tuesday, May 15, 2007
> 7:30am Continental Breakfast for the golfers
> 9:OOam Shotgun start on BOTH courses
➢ Tee -Prize will be given to each guest that will include a 10-Year
Anniversary Hat and Bag Tag- or something of the like
➢ Individual stroke play with a 1st 2nd and 3rd place for low gross and
low net. Long Drive for Men and Women and Closest to Pin for
Men and Women
➢ 2PM Awards Luncheon afterwards that will be a open barbecue for
both the golfers and additional residents that did not play
How are we going to notify the Residents of the event?
> Kristy will put the information form in the March and April Brightside
> Desert Willow will put the information up in the Lobby as well as
send it out in our E-Newsletter in March and April
➢ In May, we will announce and invite all residents to the barb-b-que
following the golf tournament. They will be asked to RSVP
personally at the Visitors Center.
How are the Residents going to qualify to play?
> The information for that is sent out in the Brightside and the E-
Newsletter will be the official entry form.
> The form will contain all the necessary information to qualify.
o Valid Resident Play Card with expiration date on #
o Name, Address, Phone and Email
> The FORM will be turned into the PALM DESERT GOLF
ACADEMY AT DESERT WILLOW prior to April 30th. The
representative will check the information on the form and sign
off.
> Guests will be contacted after the drawing on May 1st via email.
> We will then have a stand-by list for those that were not drawn
and we will invite them to the luncheon following the golf.
Food and Beverage:
> 7:30 am: Continental Breakfast (Golfers only?)
> BBQ Lunch Buffet after the round to include Hamburgers, Hot
Dogs, Chicken Sandwiches, Salads and Condiments. Tea, coffee,
lemonade, water included. Alcohol is on own.
> Dedicated Beverage Cart on course (not hosted)
This is planned at a maximum of 250 participants for the breakfast, tee prizes,
golf, and lunch for $22,000.
Additional residents will be invited to the lunch for a maximum cost to the city
of $4,000
