Chairman Elliott Smith called the meeting to order at 6:00 p.m.

���. CONSENT CALENDAR
A. APPROVAL OF THE DECEMBER 5, 2006, MEETING MINUTES
Upon a motion by Vice Chair Samantha Cortese and second by Member
Christina Sun, minutes of the December 5, 2006, meeting minutes were approved as
presented. Motion carried by unanimous vote.

IV. NEW BUSINESS
None
V. CONTINUED BUSINESS
A. JR/SR PROM
1. Tickets
Member Sun reported that Members Jonny Rohrbaugh, Raine
Armstrong and herself would man the ticket table from 4 to 5:30
p.m. and Members Amanda Caudill, Gary Gill and Alternate
Member Alison McCollister would man the ticket table from 5:30 —
7 p.m.
Ms. Scully reported that additional tickets would be prepared and
available as needed. She stated that a cash box would be
needed the night of the event and she would provide change for
large bills.
2. Set Up
Member Armstrong reported that he and Member Rohrbaugh
would be at the Palm Desert High School gym at 8 a.m. to accept
delivery of rented equipment. Members Hunter Young, Bryce
Griffith, and Alternate Member Carl Gerhardt would be at Palm
Desert High School at 9 a.m. to assist with set-up. All other
Committee members were expected to be on the property by noon
to assist with set-up.
Ms. Scully reminded the Committee that Member Armstrong
chaired the subcommittee and he will make assignments on the
day of the event.
3. Clean Up
All committee members are expected to fully participate in clean
up immediately following the event.
4. Refreshments
Joslyn Cove Community Senior Center Executive Director Peter
Rittenhouse advised that he would supply the root beer and ice
cream from his vendor and if freezers in the school cafeteria were
not available the product will be kept at the Senior Center and
delivered by van on the day of the event.
Ms. Scully requested that Member Armstrong inquire if the
cafeteria freezer would be available.
Member Wohlmuth prepared a schedule of committee members to
man the refreshment table. This schedule will be mailed to the

Committee upon Ms. Scully receiving needed information
regarding the freezers and set-up time of the floor tarp.
5. Entertainment
Member Kevin Frances reported that the band was secured and
Ted Hermann would be contacting Ms. Scully this week to finalize
the contract.
Member Francis inquired and Ms. Scully responded that lowering
the lights to reflect an atmosphere would not be possible since
many of the attendees may have sight issues.
6. Parking/ Directional Signs
Member Cortese will meet with Ms. Scully to obtain the materials
for directional signs.
Mr. Rittenhouse reminded the Committee that volunteers from the
Senior Center would also be in the parking lot to obtain direction.
7. Assignment of representatives to address City Council
Chairman Smith and Vice Chair Cortese will address the City
Council at its January 11, 2007 meeting, to solicit the purchase of
tickets and to advertise the event.
8. Assignment of representatives to address Rotary Club
Members Wohlmuth and Jenna Scott will approach the Palms to
Pines Rotary Club to sell tickets at one of its regularly scheduled
meetings in January.
9. Publicity
Ms. Scully reported that 4,000 flyers have been distributed to
members of the Senior Center and that an article will appear in the
City's February Newsletter advertising the event.
10. Decorations
Ms. Sculfy reported that the decorations had arrived and were in
her office.

VIII. REPORTS AND REMARKS
A. COMMITTEE MEMBERS
None
B. STAFF
Ms. Scully inquired and the Committee responded that they would like to
hold its regularly scheduled February Committee meeting.
Ms. Scully reminded the Committee that due to the amount of Alternates,
the Attendance Regulations would be strictly enforced in 2007.
She reminded the Committee that she would be out of town for the next
two weeks. Committee members who need to contact her can do so via
her cell phone.
IX. ADJOURNMENT
Upon a motion by Vice Chair Cortese and second by Member Armstrong
the meeting was adjourned at 6: 5 p.m. Motion carried by unanimous vote.
