HomeMy WebLinkAboutSR - C25441 - Xtnsn - FY 07-08 Printing of Bright SideCITY OF PALM DESERT COMMUNITY SERVICES STAFF REPORT REQUEST: Extend Contract No. C25441 with Coachella Valley Printing Group for the printing of the monthly BrightSide newsletter for Fiscal Year 2007/08. DATE: June 28, 2007 CONTENT: Coachella Valley Printing Group Contract Recommendation: By Minute Motion, 1) approve a one year extension of the subject contract for monthly printing of the BrightSide newsletter to include a 4.5(Yo increase for a total amount of $5,173.76/month for FY 07/08, as provided for in the contract; 2) Authorize Mayor to execute same. Funds are available in account number 110- 4417-414-3610. Executive Summary: Due to the challenging post office regulations, a two-year bid process for printing the newsletter was conducted last year, as the learning curve would be extremely high should a new company be selected each year. The Coachella Valley Printing Group (CVPG) offered the lowest bid for both years for printing of the BrightSide newsletter. Overall, Staff feels the CVPG provides quality work, outstanding customer service, and has the flexibility needed in a printer for this particular task. Staff recommends the CVPG contract be extended to reflect the 4.5% increase outlined in last year's bid process and provided for in the subject contract. The second year bid included this increase due to cost increases for paper. Background: CVPG continues to offer quality service at the lowest market prices. As in years' past, they never missed a deadline and were more than willing to work with special requests, including an extra edition for Energy conservation. One of the most challenging issues with the newsletter is the ever -changing postal regulations and time-consuming requirements for delivery of bulk mail. Staff Report BrightSide Newsletter Printing Page 2 For that reason, Staff requested a two-year bid in Fiscal Year 2006/07. Once again, the CVPG offered the lowest bid for both years. The CVPG stays abreast of the postal requirements, and Staff is confident that this company will continue to work with the City, our designers, and the post office, in a manner in which we are accustomed.
