C26480 CITY OF PALM DESERT STAFF REPORT AUTHORIZATION TO ADVERTISE AND CALL FOR BIDS FOR THE REPLACEMENT OF CARPET AT THE DESERT WILLOW GOLF RESORT CLUBHOUSE MISSY WIGHTMAN, PROJECT COORDINATOR MAY 10, 2007 By Minute Motion, that the City Council authorize the City Clerk to advertise and call for bids for the replacement of carpet at the Desert Willow Golf Resort Clubhouse. Executive Summary: Approval of staff recommendation will allow solicitation of written bids from qualified contractors for the replacement of carpet at the Desert Willow Golf Resort Clubhouse. This replacement will provide a new look to the outdated and worn carpet within the clubhouse. Discussion: The Desert Willow Golf Resort Clubhouse construction was completed in April 2000. The original carpet has lasted seven years, which is a typical length of life for commercial carpet applications with heavy, everyday use. New carpet has been specified and designed to meet the needs of the users of the clubhouse. Various patterns of carpet tile have been proposed due to their ability to change out an individual tile if something is spilled and results in a permanent stain. This allows the carpet to look new for a longer period of time as heavy traffic areas can be replaced with new tiles kept as stock at the clubhouse storage facility. The specified design and samples were approved at the last President's Meeting, and the meeting members simultaneously requested that the design be brought before the City Council for approval. The work to be accomplished consists of moving the existing furniture off of the carpet to be replaced, removal of the existing carpet, purchasing and installing the new carpet, and moving the existing furniture back into place. Additionally, the specified carpet has an EcoWorx, or comprehensively substitutable, backing material that is comprised of 40% recycled content. The carpet manufacturer will be required to pick up the carpet at no cost to the owner when the carpet is in need of replacement, and will recycle 100% of the backing. Staff has been requested to review this area and propose a new design solution for these worn carpeted areas of the clubhouse. Carpet tiles are being proposed for ease of replacing a single square of carpet in areas with hard to remove stains. With broadloom carpet, this would be impossible without taking up the whole room. Additionally, these carpet tiles are comprised of 40% recycled content, and the backing is 100% recyclable at the end of the carpet's useful life. Use of this product will provide a sustainable design that will last several years longer than the typical broadloom carpet. A color board has been produced and is available for review within the Council offices' conference room. This item is on the agenda for the May 10, 2007, Council meeting to authorize the City Clerk to advertise and call for bids for the replacement of carpet at the Desert Willow Golf Resort Clubhouse. The color board illustrates the patterns and layout only. The samples have been laid out to illustrate color and pattern. These choices have been approved by the staff members of the President's meeting, and have been brought out to the clubhouse for review with existing furnishings.
