RIVERSIDE, CA 92509 DATE: MAY 24, 2007 CONTENTS: TOTAL PLAN BUSINESS INTERIORS, INC. PROPOSALS Recommendation: By Minute Motion, that the City Council: 1) Approve the purchase of furnishings for the council offices furnishings in the amount of $51,579 from Total Plan Business Interiors, Inc. of Riverside, California; 2) Provide direction to proceed with all or some of the attached proposed categories of furnishings; 3) Declare existing furniture to be replaced as surplus goods; 4) Authorize the appropriation of $51,579 from the City's unobligated funds to Account No. 110-4159-415-4040; 5) Authorize the Director of Finance to set aside a 10% contingency in the amount of $5,158 from Account No. 110-4159-415-4040. Use of contingency requires additional Council action. Executive Summary: Approval of the staff recommendation will allow the procurement of furnishings for the offices and general storage of the Mayor and Councilmembers. This furniture will provide functional workstations and additional storage for the City Council offices. The existing furniture will be declared surplus and will be donated to interested nonprofit agencies within the Coachella Valley. Staff Report Approve the Purchase and Appropriation of Funds for Council Offices Furnishings and Declare Existing Furniture to be Replaced as Surplus Goods Page 2 of 2 May 24, 2007 Discussion: The existing furniture within council offices area of City Hall was purchased over 20 years ago. The furniture no longer serves the functions needed for each individual's storage and workspace needs. Several offices need more filing and shelving storage, as well as larger work surfaces to accommodate areas to work and hold computer equipment. Furniture layouts were drawn and distributed for review by each Councilmember to evaluate the use of space in each of their respective offices. Staff has received approval of the drawn layouts, but would like direction to proceed with all or some of the attached proposed categories of furnishings. These new furnishings will provide adequate work space and storage, which the existing furnishings do not. The office furnishings proposal is presented here for approval and procurement.
