RIVERSIDE, CA 92509 DATE: FEBRUARY 14, 2008 CONTENTS: TOTAL PLAN BUSINESS INTERIORS PROPOSAL FURNITURE PHOTOS Recommendation: By Minute Motion, that the City Council: 1. Approve the purchase of office furnishings from Total Plan Business Interiors of Riverside, California for the Henderson Community Building in the amount of $52,000; and 2. Appropriate $52,000 from the City's unobligated funds to Account No. 400- 4367-433-4001. Executive Summary: Approval of staff recommendation will allow procurement of new furnishings for the Henderson Community Building. This furniture will be installed in the conference rooms and lobby for final use by occupants. Discussion: The Henderson Community Building is nearing completion and furniture pricing was obtained from Total Plan Business Interiors. Total Plan is an authorized vendor under the U.S. Communities Agreement, a government purchasing alliance, which allows them to sell furniture under a pre -bid contract. These pre -bid contracts allow governmental agencies to purchase furnishings at 50-60% below list price. With approval, the City would be purchasing items to furnish the four conference rooms that are designated for community use and the foyer lobby furniture. These items will Staff Report Approve Purchase of Office Furnishings to Complete the New Henderson Community Building Page 2 of 2 February 14, 2008 include conference tables, chairs, a speaker podium, free standing credenzas, four lobby seats, and two side tables. The Chamber of Commerce will be purchasing their furnishings from various vendors including Total Plan Business Interiors. Their furnishings include a new conference table and chairs for their private conference room, office desks and storage units, task chairs, guest chairs, brochure racks, and a break room table and chairs. All tables and chairs presented here have been chosen because of their ease of use by incorporating wheels on the bottom of all tables and chairs. Also, these items have the capability to stack and nest together allowing users to rearrange the conference rooms in various ways, including either a conference arrangement or more of an auditorium seating arrangement (chairs only). Photos of all furniture pieces have been attached for your review, and a color board will be available in the City Council conference room for your review. This furniture is presented here for approval and procurement. Staff evaluated proposals for the best use in flexibility, LEED contributions, and pricing, and recommends the purchase of these items to procure them before the opening date of the Henderson Community Building anticipated in April 2008.
