Approve the purchase of furnishings from Total Plan Business Interiors of Rancho Mirage, California and Commercial Design Systems of Tualatin, Oregon for the Henderson Community Building in the amount of $99,200; and 2. Appropriate $99,200 from the City's unobligated funds to Account No. 400-4367- 433-4001. Executive Summary: Approval of staff recommendation will allow procurement of new furnishings to include furniture and the framing of historical photos for the Henderson Community Building. This furniture will be installed in the conference rooms and lobby for use by the occupants. All tables and chairs presented here have been reviewed and approved by the subcommittee. Staff recommends approval. Discussion: Furnishing: At your February 28, 2008 meeting, the City Council directed staff to work with an appointed subcommittee to review and select furnishings for the Henderson Community Building. Staff met with the subcommittee to discuss the selection of furniture and accessories for the four conference rooms and foyer lobby that are designated for community use. These items include new conference tables, chairs, one speaker podium, two free-standing credenzas, four lobby seats, two side tables, and framed historical Palm Desert photography. Staff Report Approve Purchase of Furnishings for the Henderson Community Building Page 2of2 March 13, 2008 All tables and chairs presented here have been chosen to complete the look requested by the subcommittee. These chairs have the capability to stack 4 high, and the tables will have solid surfaces. A color board will be available in the City Council conference room for your review of pieces and fabrics selected by the subcommittee. Furniture pricing was obtained from Total Plan Business Interiors. Total Plan is an authorized furniture vendor under the U.S. Communities Agreement and CMAS, government purchasing alliances, which allows them to sell furniture under a pre -bid contract. They will also use a state contract pre -bid by the County of Riverside and deemed to be the lowest price. These pre -bid contracts allow governmental agencies to purchase furnishings at 50-60% below list price. Historical Photography: Staff recommends working with Commercial Design Systems (CDS) to provide the mounting and framing of historical photographs for the Henderson Community Building. CDS is a professional services firm that strictly designs commercial interiors. Staff recommends this firm based on their performance of previous work that can be seen in the local Palm Desert Jensen's. Staff will provide this firm with historical photos, as selected by the subcommittee, and CDS will enlarge and mount these photos on a custom designed frame. Installation of field fitting these designs is part of their scope of work and design vision. The Chamber of Commerce has purchased their furnishings, and staff has reviewed their color choices with the subcommittee. Ultimately, it was agreed that they were far enough apart as to not conflict with the color choices agreed to for the conference rooms and lobby. Staff evaluated selections for the best use based on requests by the subcommittee and LEED contributions. Therefore, staff recommends the purchase and procurement of these items so furniture can be obtained as close as possible to the opening date of the Henderson Community Building, which is anticipated in April 2008.
