Box 3284 Palm Desert, CA 92261 DATE: October 9, 2008 CONTENTS: Contract Amendment No. 1 Estimate Recommendation: By Minute Motion, amend Contract No. C26561 for Landscape Maintenance Area No. 9 to add the Eric Johnson Garden II and the Henderson Building Landscapes at Entrada del Paseo in the amount of $31,875. Discussion: On May 22, 2007, the City Clerk advertised and called for proposals for professional horticultural services for the City's Landscape Maintenance Area No. 9. The contract was awarded to Hort Tech, Inc. in the amount of $231,000. On June 12, 2008, the City Council approved the extension of the contract for a period of one year in the amount of $245,037. The Redevelopment Agency has recently completed the Entrada del Paseo Project, which includes The Eric Johnson Garden II and Henderson Building Landscapes. Both areas have compteted their 90-day maintenance period and have been accepted as complete by the Landscape Services Division. The areas need to be added to the Landscape Maintenance Area 9 contract for regular landscape maintenance. Amend Contract C26561 Landscape Maintenance Area No. 9 Page 2 of 2 October 9, 2008 Staff contacted the landscape maintenance vendor for this area, and requested a price quote for the additional work. Staff reviewed their estimate of $3,125.00 a month for the Eric Johnson Garden II and $625.00 a month for the Henderson Building Landscapes and found it to be consistent with the cost of services for similar areas in the current contract. Therefore, staff recommends that, by Minute Motion, City Council amend Contract No. C26561 for Landscape Maintenance Area No. 9 for the remainder of the contract term (8'/2 months) by adding $31,875.00 for the two additional areas, bringing the contract to a grand total of$276,912.00. Fiscal Impact: Funds for this amendment are available in Budget Account 110-4614-453-3370. This amendment will result in no other additional costs to the City. Prepared By: Submitted By: i / H. The Contractor shall construct, furnish equipment and materials, and perForm all work as necessary or required to complete the Change Amendment items for a lump sum price agreed upon between the Contractor and the City of Palm Desert, otherwise referred to as Owner.
