SUBMITTED BY: Kristy Kneiding, Marketing Manager DATE: October 23, 2008 CONTENT: 2009 Community Calendar Printing Quotes Recommendation: By Minute Motion: 1) Accept the bid from Papillon Graphics for printing of the 2009 Community Calendar in the amount of $25,995; 2) Authorize Mayor to execute the same. Executive Summary: Papillon Graphics is a quality company, fully capable of printing the calendar while meeting all specifications and postal requirements. Staff recommends that Papillon Graphics be approved to print the calendar. Funds were included in the 2008/09 budget and are available in account number 110-4417-414-3091. Discussion: Following are the quotes received: The Printing Place, Palm Desert: $20,411 Papillon Graphics, Palm Desert: $25,995 CV Printing Group, Indio: $29,475 While the Printing Place was the low bidder, their quote included a condition for the right to print plus or minus ten percent and bill accordingly. With the strict postal requirements of delivering an exact amount to the post office and our need for additional copies for distribution at City facilities, an over/under condition is not acceptable. Papillon Graphics has a long history of providing high-quality printing and professional management of the printing process including using heavy coverage and color correction where needed. Not all printing companies provide this high-level of quality and service.
