Recommendation:
By Minute Motion, approve the purchase of Disaster Recovery Solution from
SunGard Public Sector in the amount of $5,000 start up fee and $1,300 monthly
charge. Funds are available in Account No. 110-4190-415-3360.
Discussion:
The SunGard software suite handles our core functions within the city, including Building
Permits, Financials, Business License, and Payroll. It runs on a special IBM server that is
not readily available at local stores. Therefore, if a disaster were to occur, the City's critical
information and applications would be unavailable until a replacement could be obtained.
SunGard Public Sector supplies a Disaster Recovery Solution that provides an alternate
location and system to run our applications in the event of an outage. If an outage occurs
the backup tapes are sent overnight to the SunGard Public Sector facility in Florida and the
City's information will be restored on their system within a few days. When restored, the
City may access the information via a secure connection over the Internet. Once our
system is restored and operational SunGard will perform a full backup and reverse the
recovery. As part of this solution, SunGard would also verify the data on our backup tapes
once a quarter.
Without this solution, we would have to wait until a new server could be purchased from
IBM, at least two weeks. During that time we would not be able to perform our core city
functions.

The startup cost is $5,000. There is a monthly charge of $1,300 for one year, with an
automatic renewal. There is also a $3,500 fee when a disaster is declared. Funds for this
program are budgeted in the Information Systems budget, Account No. 110-4190-415-
3360. Staff requests that City Council authorize the purchase of the SunGard Public
Sector Disaster Recovery Solution.

PAYMENT TERMS
Term Length: 60 Months
100% of Startup Fees are due upon contract execution.
The first Monthly Access fees will be due 30 days after contract execution.
Subsequent monthly fees will be billed according to the term of the contract.
A fee of $3,500 will be charged for each disaster declaration.
Customer has 30 days to access the backup environment once the recovery period has commenced. Longer durations are negotiable.
A $500/day charge will be assessed for each additional day beyond 30 days that Customer uses the recovery environment.
Travel and related expenses of the trainers, installers, or project managers are in addition to the above costs and they are billed separately.
Customer will be contacted by the SunGard Public Sector Project Manager to begin the implementation process of this
project upon receipt of startup fees.
