Ratify a Contract with Cloudburst Engineering in the amount not-to- exceed $8,840.95 for the motor repair associated with Well No. 1 at the Desert Willow Golf Resort; and 3. Appropriate $52,253.35 from Golf Course Maintenance, Account No. 241- 4195-495-8092. Executive Summary Well No. 1,which serves the Firecliff Golf Course recently failed. In order to avoid damage to the golf course, the City Manager authorized two contracts in the amount not-to-exceed $52,253.35 with Tri County Pump Company and Cloudburst Engineering to repair the well pump and motors. Approval of staff's recommendation will ratify the contracts executed by the City Manager. Staff recommends approval. Backqround On May 20, 2010, the City Manager approved two contracts in the amount not-to-exceed $52,253.35 with Tri County Pump Company and Cloudburst Engineering for the repairs to Staff Report Ratify Contracts w/Tri County Pump Co. and Cloudburst Engineering for Well No.1 Repair May 27, 2010 Page 2 of 2 Well No. 1 at Desert Willow Golf Resort. Well No. 1 serves the Firecliff golf course with fresh water to irrigate the golf course. Currently, the City utilizes a combination of reclaimed water provided by the Coachella Valley Water District (CVWD) and aquifer well water to irrigate the golf courses. Well No. 1 has been in operation for 15 years. The City contracted Tri County Pump Company to investigate the cause and extent of the damage to the well. The existing well has a maximum depth of 900 feet, and the current depth of the well pump rests at 362 feet. The contractor determined that the well failed due to a fluctuation in the well's water level. Lack of water at the current pump depth caused the pump and motors to overheat and fail. This is a trend that other golf courses and wells have experienced in recent years. In order to avoid potential damage to the golf course, the City Manager authorized two emergency contracts as follows: • Contract with Tri County Pump Company to pull up the well's tube and shaft, assess the pump condition, clean the column assembly and column perforations, add 60 feet of depth to the shaft and tube, and reinstall the pump to a new depth of 422 feet. The total cost of this repair is in the amount not-to-exceed $43,412.40. • Contract with Cloudburst Engineering to repair the 250 horse power pump motor damaged as a result of overheating in the amount not-to-exceed $8,840.95. The repairs will allow for consistent water level draw to alleviate the concern of water depth. The contract also includes the installation of a Poly Airline and gauge. This will allow the operator to monitor the depth of the well's water level to avoid damage to the pump and motors. Fiscal Analysis The repairs to the well are necessary to avoid damage to the golf course plant life, greens, and loss of revenue. The cumulative cost to repair the well is in the amount not-to-exceed $52,253.35. Funds are available in Golf Course Maintenance, Account No. 241-4195-495- 8092.
