REQUEST: REQUEST TO AUTHORIZE OUT OF STATE TRAVEL FOR THE
FIRE DEPARTMENT'S PARAMEDIC COORDINATOR TO
TRAVEL TO HOUSTON, TEXAS, FOR THE PURPOSE OF
INSPECTING AND DELIVERING PALM DESERT'S NEW CLEAN
DIESEL MEDIC UNIT.

Recommendation
By Minute Motion, that the City Council:
AUTHORIZE out of state travel for the Fire Department's Paramedic
Coordinator, or alternate, to travel to Houston, Texas, for the purpose of
inspecting and delivering Palm Desert's new clean diesel medic unit.
APPROPRIATE an additional $525.00 from the Capital Replacement
Fund to cover delivery related travel costs concerning Palm Desert's
new clean diesel fuel ambulance.
Executive Summary
On March 24, 2011, the City Council authorized Staff to replace Palm Desert's pilot
CNG medic unit with a clean diesel chassis, in an amount not -to -exceed $78,000
(included shipping charges). This medic unit is expected to be completed the week of
June 13, 2011. However, the return shipping charges will require an additional
appropriation above the Council approved amount. The Palm Desert Fire Department's
Paramedic Coordinator volunteered to drive this unit back to the City. This action is
beneficial not only financially, but permits the Fire Department to thoroughly inspect the
vehicle, while it remains at the manufacturer's facility. The following is a cost breakdown
to have the Fire Department deliver the medic unit, versus a professional shipping
company.

Fiscal Impact
The most financially conservative option to ship the new diesel medic unit back to the
City is to have the Fire Department drive it back at a travel cost of $739.82. This
estimate exceeds the original amount authorized by the City Council on March 24,
2011, by approximately $525.00. An additional appropriation in this amount from the
Capital Replacement Fund will be necessary. However, this action saves the City
$858.00 (the next cost effective option) and permits the Fire Department to inspect the
vehicle before taking possession.

We would need the dimensions and gross vehicle weight for an exact price but it would be in the $2,400
range via flat bed. This rate is assuming it is in running condition. The height limit is 9 feet.
