HomeMy WebLinkAboutSolicit Event Coordinators for Thanksgiving Day Annual EventCITY OF PALM DESERT CITY MANAGERS OFFICE STAFF REPORT REQUEST: CONSIDERATION OF APPROVAL TO CONDUCT A SOLICITATION OF EVENT COORDINATORS TO PRODUCE A 5K WALK/RUN EVENT ON THANKSGIVING DAY UTLIZING EL PASEO. SUBMITTED BY: Ryan Stendell, Senior Management Analyst DATE: April 26, 2012 Recommendation That the City Council direct staff to conduct a solicitation of event coordinators for an annual event held on Thanksgiving Day on El Paseo. Background El Paseo has been utilized for many years in conjunction with the production of an annual Turkey Trot 5k walk/run held on Thanksgiving Day. Early in the events history, minimal street closure tactics and volunteers were used to secure El Paseo. As the event grew it became clear that a full street closure was needed including water filled barricades. At that time the City Council authorized a sponsorship to cover the cost of the street closure which was up to $3,000. The event producer has indicated that a portion of the proceeds from this event are given back to the community in the way of scholarships to local students. Staff has fielded many inquiries by other charitable organizations related to the use of El Paseo on Thanksgiving. Because the City had become a sponsor of the event, we have not explored any other event coordinators proposals. Staff believes local residents have become very fond of this event as it has grown throughout the years. niccuccinn Staff is recommending elimination of the $3,000.00 sponsorship of the Turkey Trot as was presented at the budget study session of April 4, 2012. This would be an opportune time to solicit local event coordinators with the goal of continuing to provide a 5k run walk on El Paseo Thanksgiving Day at no cost to the City. Staff believes this provides a fair opportunity for all interested parties to make a proposal. At the conclusion of this process, staff would return to the City Council with a recommendation for approval. Staff is attempting to continue a Thanksgiving Day tradition with no fiscal impact to the City. If approved, staff would return to the City Council with the results of the solicitation.
