HomeMy WebLinkAboutC32000A - BIDS - Civic Center Sheriffs Substation HVAC UpgradesContract No.'C32000A CITY OF PALM DESERT PUBLIC WORKS STAFF REPORT REQUEST: AUTHORIZE STAFF TO SOLICIT BIDS FOR THE CIVIC CENTER SHERIFF SUBSTATION HVAC UPGRADES (PROJECT NO. 763-11) SUBMITTED BY: Mark Greenwood, P.E., Director of Public Works DATE: October 11, 2012 Recommendation By Minute Motion: 1. Authorize staff to solicit bids for the Civic Center Sheriff Substation HVAC Upgrades (Project No. 763-11); and 2. Declare existing HVAC equipment as surplus and authorize staff to dispose of it. Funds for the Civic Center Sheriff Substation HVAC Upgrades are available in Account No. 450-4161-415-4001. Background On July 12, 2012, the City Council authorized award of the design contract for the Civic Center Sheriff Substation HVAC Upgrade project to MRC Engineering, Palm Desert. The engineering firm is nearing completion of the construction documents that detail the replacement of the existing HVAC system, which is original to the building, with current technology. Due to the aging equipment, critical nature of the 911 dispatch center, and the impending occupation of the full facility in October, the HVAC upgrades must be completed this fiscal year. To minimize the equipment down time, staff intends to schedule the construction for January 2013 when disruptions to the HVAC service will have minimal impact on the building occupants. Contract No. C32000A Staff Report Authorize Staff to Solicit Bids (Project No. 763-11) Page 2of2 October 11, 2012 Staff recommends that the City Council declare the existing HVAC equipment as surplus and authorize staff to dispose of it. Method of disposal will be left to the discretion of the contractor selected to complete the construction. Fiscal Analysis The HVAC equipment is original to the building and replacement is necessary to support the critical nature of the 911 dispatch center as the useful life of the equipment is coming to an end. Also, additional energy efficiencies may be realized with the use of current technology. There is no fiscal impact associated with soliciting proposals for this project.
