HomeMy WebLinkAboutPurchase - New Computer Wrkstatn RplcmntsCITY OF PALM DESERT INFORMATION SYSTEMS STAFF REPORT REQUEST: AUTHORIZE PURCHASE OF NEW WORKSTATIONS IN AN AMOUNT NOT TO EXCEED $64,600 SUBMITTED BY: CLAYTON VON HELF, INFORMATION SYSTEMS MANAGER DATE: JUNE 27, 2013 Recommendation By Minute Motion, approve the purchase of new workstations for an amount not to exceed $64,600. Funds are available in Account No. 530- 4190-415-4040, Equipment Replacement Fund. Discussion Currently, the IT department is operating on a six -year plan for computer workstation replacements. Due to budget constraints and staffing uncertainty, we have not replaced old workstations for the last two fiscal years. With our reorganization complete and staffing levels stabilized, the IT department would like to purchase at least 38 computers to replace older workstations with upgraded models. The estimated cost of each workstation is $1,700 ($64,600 for 38). There are 58 computers that are six or more years old. By targeting the replacements, we will be able to keep our functionality high, and only replace 38 computers. The funds for this would come from the equipment replacement fund, not the general fund. There are 35 Gateway computers still in use at City Hall. The Gateway government sector has gone out of business as of 2008, and these computers have no warranty, support, or replacement parts. These computers are all over seven years old. In addition there are three other non -Dell models in use at the City that are over seven years old. These also are out of warranty and finding replacement parts would be challenging. We will be replacing all of the non -Dell workstations with this purchase. The computers will all be Dell workstations, purchased under a government pricing contract. They will all have extended warranties (five years) which include any replacement parts.
