Ratify Change Order No. 1 to Contract C32780A (Project No. 580-13) with Siemens Industry, Inc., in the amount of $3,000 approved by the City Manager in a memo dated December 12, 2013; and 2. Authorize the transfer of$3,000 from contingency to base; Funds are available in Account No. 234-4250-422-4001, Traffic Signal Maintenance Accou nt. Backqround On July 11, 2013, City Council awarded Contract No. C32780A to Siemens Industry, Inc., for the 2013 Citywide Traffic Signal Maintenance Project. Subsequent to the award, ten traffic signal advance loop detectors were found to be faulty and in need of replacement. Siemens Industry provided a quote of $3,000 for the additional work and was able to minimize cost because the traffic signal maintenance project was already underway. Staff requested the City Manager to approved the additional work in an effort to keep the project moving forward. Staff Report Ratify Change Order No. 1 to Contract No. �32870A , (Project No. 580-13) Page 2 of 3 June 12, 2014 This project has been completed and on March 27, 2014, a staff report to file the Notice of Completion was approved by City Council. The ratification of the additional work was inadvertently omitted from that report. Fiscal Analvsis There is no fiscal impact associated with this action beyond the cost of the additional work. Wahlmuth, City Manager From: Mark Greenwood, P.E., Director of Public Work 1 Date: December 12, 2013 � Subject: Additional Work for Citywide Traffic Signai Maintenance Project 580-13 The 2013 Citywide Traffic Signal Maintenance Project is currently underway. Siemens Industry, Inc. was awarded a contract to address 11 signalized intersections that were in need of extensive repair work due to wire damage caused by insects, outdated equipment, cabinet rust damage, and loop detector failure due to pavement shifting and cracking. During the course of this repair 10 additional loops were found to be damaged and must be repaired. The City does not have the proper equipment for the maintenance staff to make these repairs and the services of a qual�ed electrical contractor are required. Siemens Industry, Inc., provided a quote of $300.00 per loop (attached) to repair the damaged loops. This will result in a change order to their contract in the amount of $3,000.00. Staff finds this price to be reasonable and within industry standards. Siemens Industry is able to provide the repair at this cost as they are already mobilized and working in the City. Staff is requesting your approval to add $3,000.00 to the Purchase Order for Siemens Industry and authorize them to proceed with the work while the maintenance project is still underway in order to minimize cos#. Staff will prepare a formal change order to the contract for approval by City Council on January 9, 2014.
