CIVIC DR., STE. 10 PALM SPRINGS, CA 92262 DATE: 24 MARCH 2O05 CONTENTS: CONTRACT AMENDMENT NO. 5 TO INTERACTIVE DESIGN CORPORATION FOR DESIGN OF THE VISITOR INFORMATION CENTER Recommendation: By Minute Motion, that the Agency Board ratify a contract amendment in the amount of $5,000 to Interactive Design Corporation of Palm Springs, California for additional reimbursable expenses encountered and for design modifications to accommodate additional art gallery space in the new Palm Desert Visitor Information Center. Funding for the contract amendment is available in the capital budget for the current fiscal year for the Entrada del Paseo project (Account No. 850-4358-433-4001). Executive Summarv: Approval of the staff recommendation will ratify a contract amendment approved by the Executive Director under the authority granted by Section 3.30.270 of the Palm Desert Municipal Code. The same section of code requires this report to the Agency Board of the Executive Director's action. Staff Report Interactive Design Contract Amendment No. 5 Page 2 of 2 24 March 2005 Discussion: Interactive Design Corporation was retained to design the new Visitor Information Center at Entrada del Paseo in October 2001. Their contract has been amended several times as the scope of work has been revised to meet Entrada del Paseo Steering Committee recommendations, changing conditions, and Agency Board direction. With confirmation that the Public Art Department will move to the new building, staff has worked to identify any changes needed to relocate the North Wing Gallery program from City Hall to the new facility. Although sufficient building space is available, changes need to be made to the new ,building's structural, electrical, and architectural design in order to add display walls and gallery lighting. The value of the engineering and architectural fees for these changes is $3,800. The cost of the actual construction work associated with these changes is not included; those costs are likely to be around $10,000. The quantity of reimbursable expenses such as reproduction, long distance phone calls, postage and mileage has also increased. Contract Amendment No. 5 increases the contract allowance for reimbursable expenses by $1,200. Staff anticipates that this amount will be sufficient for completion of the project.
