RIVERSIDE, CA 92501 DATE: MAY 26, 2005 CONTENTS: DETAILED LIST OF FURNISHINGS Recommendation: By Minute Motion, that the Agency Board approve the purchase of furniture and retail merchandise display fixtures recommended by the Entrada del Paseo Steering Committee for the new Visitor Information Center, and authorize the following procurement instruments: 1. Purchase order in the amount of $102,247 plus $10,225 contingency to G/M Business Interiors of Riverside, California for the purchase of furniture. 2. Purchase order in the amount of $9,493 plus $949 contingency to Office Depot of Los Angeles, California for the purchase of back -of -house furniture. 3. Agreement with F & B, Inc./Nanemone of Pomona, California, in the amount of $45,000 plus $4,500 contingency for the design and fabrication of retail fixtures and brochure display racks. Use of contingency requires additional action by the Agency Board. Executive Summarv: Approval of the recommendation will allow procurement of the furnishings and retail fixtures selected by the Entrada del Paseo Steering Committee for the new Visitor Information Center. Rejection of the staff recommendation will result in a delay in furnishing the building while other furniture and fixtures are designed and/or selected. Discussion: Over the last six months, the Visitor Information Center design team, building occupants, and Entrada del Paseo Steering Committee have worked to select furniture and fixtures for the new Visitor Information Center. Consideration was given to: the building architecture, colors, and finishes; the use of each space; the care and maintenance of the materials used; the comfort of the seating; and the type, amount, and ease of accessing the merchandise that will be sold in the Visitor Center. The result of this process was a detailed list of all furnishings required for, and appropriate to, the building. That list is attached for your information. The furniture is available from vendors approved under the California Multiple Award Schedule (CMAS) programs, so that prices are assured of being fair and reasonable without going through the public bidding process. (These prices are typically 40% to 50% less than the listed retail price.) Two vendors, G/M Business Interiors and Office Depot, can together supply all of the selected furniture. The retail fixtures and brochure display racks are specialty items. These items are typically fabricated by the same firm that designs them and, in fact, the designs of a particular firm reflect the materials and capabilities peculiar to their own fabrication shop. F & B, Inc./Nanemone was selected from five firms who responded to a widely disseminated RFP for design of retail fixtures. They then worked closely with the building architect, Visitor Center Manager, and Agency staff to develop designs appropriate for the building and the merchandise that will be displayed. The purchase agreement recommended herein covers the design, fabrication, delivery, and installation of the custom fixtures. The Entrada del Paseo Steering Committee has reviewed and recommended approval of all the furniture and fixtures presented here for approval and procurement.
