STAFF REPORT
REQUEST: AUTHORIZE APPROPRIATION OF $157,233 FROM THE CITY'S AND
AGENCY'S UNOBLIGATED FUNDS FOR THE PROPOSED REMODEL
OF THE REDEVELOPMENT LOBBY AND THE CONFERENCE ROOMS
LOCATED IN THE PUBLIC WORKS AND PLANNING DEPARTMENTS,
THE CITY COUNCIL OFFICE AREA, AND THE NORTH WING.

Recommendation:
By Minute Motion, that the City Council:
1) Authorize the appropriation of $78,616.50 from the City's unobligated funds
to Account No. 110-4159-415-4040;
2) Authorize the appropriation of $39,308.25 from the Agency's unobligated
funds to Account No. 850-4195-466-4040; and
3) Authorize the appropriation of $39,308.25 from the Agency's unobligated
Housing Set -Aside funds to Account No. 870-4195-466-4040.
The total appropriation of $157,233 is for the proposed remodel of the
Redevelopment lobby and the conference rooms located in the Planning and Public
Works Departments, the City Council office area, and the North Wing. The
appropriations above establish the respective budget divisions of 50% from the
City's unobligated funds, 25% from the Agency's unobligated funds, and 25% from
the Agency's unobligated Housing Set Aside funds.
Discussion:
At the June 1, 2006, Budget Study Session, the City Council gave the directive to establish a
budget to remodel the Redevelopment lobby and the conference rooms located in the City
Council's office, Public Works, Planning, and the North Wing. Staff submitted the budget for
review at the July 24, 2006, Executive Management Meeting. Executive Management has
reviewed and approved this budget for submission to the City Council for consideration.
The budgeted amount of $157,233 takes advantage of many government discounts, which give
up to 60% off of many list prices. Funds need to be appropriated from the City's Unobligated
Funds for these purchases. Staff is recommending appropriation as required for the selected
furniture as shown on the colorboards for these proposed projects. Sample color boards with
material choices will be available for review in the City Council's Conference Room during the
week of August 21, 2006. The designs have been focused around renewable and recycled

materials. Therefore, staff recommends that the City Council approve the appropriation of
$157,233 for these purchases.
