HomeMy WebLinkAboutAppropriation - City Council offices Remodel�H CITY OF PALM DESERT PALM DESERT REDEVELOPMENT AGENCY STAFF REPORT REQUEST: AUTHORIZE APPROPRIATION OF $15,000 FROM THE CITY'S GENERAL FUND FOR THE REMODEL OF THE CITY COUNCIL OFFICES AREA AND REIMBURSE THE CITY'S GENERAL FUND IN THE AMOUNT OF $47,539 FOR HALF OF THE PROJECT COSTS FROM THE AGENCY'S UNOBLIGATED FUNDS SUBMITTED BY: MISSY WIGHTMAN, PROJECT COORDINATOR DATE: JULY 12, 2007 Recommendation: By Minute Motion, that the City Council: 1. Authorize the appropriation of $15,000 from the City's General Fund to Account No. 110-4159-415-4040. By Minute Motion, that the Agency Board: Reimburse the City's General Fund in the amount of $47,539 for half of the project costs; and 2. Authorize the appropriation of $47,539 to Account No. 850-4199- 499-5010. Discussion: On May 24, 2007, the City Council approved the purchase of new office furnishings for the City Council offices area. An appropriation of $28,500 followed this purchase and was approved at the June 14, 2007 Council meeting to cover improvements such as painting, carpet, seating, blinds, shelving/storage, and other miscellaneous items to move forward concurrently with the office furniture. Pricing has now been received for carpet, seating, and painting which exceeds the previous appropriation. Items that remain to be purchased are additional shelving, blinds, lighting, installation labor costs, and miscellaneous accessories. An additional $15,000 is required to complete the remodel. The Council offices furniture is over 20 years old and in need of replacement. These furnishings are mismatched and miscellaneous left over pieces that do not allow for an optimal configuration of space. Each office was evaluated for the best use of space and each user's own needs within their work environment. By approval of this request these costs will be split equally between City and Agency funds for the City Council and Agency board, respectively. Staff is recommending appropriation as required for the estimated budget to procure and complete the proposed project. Sample color choices and materials were displayed for review in the Council offices conference room at the last City Council meeting. Therefore, staff recommends that the City Council approve the appropriation of $15,000 for these purchases, and that the Agency Board approve the reimbursement to the City in the amount of $47,539.
