R23980 By Minute Motion, that the Agency Board: 1) Authorize Contract Amendment No. 2 to Contract No. R23980 (Prest/Vuksic Architects) for additional landscape design services at 77-107 California Avenue in an amount not -to -exceed $10,000, based on the attached proposal; and 2) Authorize Chairman to execute such amendment and all necessary documents to facilitate it. Funds are available in Budget Year 2007-2008, Account No. 871-8680-466-4001. Executive Summary: Approval of this request will allow Prest/Vuksic Architects to complete additional landscape design services for Phase B of the California Villas renovation project. The original contract requires augmentation in order to address modifications to the landscaping plans resulting from site improvements to comply with new ADA requirements and introduction of inert landscaping materials such as boulders, cobble and ground cover. Discussion: In July 2005, Prest/Vuksic Architecture was contracted to complete architecture and site renovation designs for the 141-unit affordable housing project know as California Villas (77-107 California Avenue). Phase "A" included interior and exterior building renovation and was completed in January 2007. Phase "B" renovations include site improvements to sidewalks, parking lots, and new water efficient landscaping. Staff Report Authorize Contract Amendment 2 to Prest Vuksic, Inc. Contract R23980 Page 2 of 2 May 8, 2008 The landscaping design for the California Villas renovation project includes replacing the existing turf and lush landscaping with new water efficient irrigation and landscaping. These plans were reviewed and approved by the City's Landscaping Department in 2005. The attached proposal in the amount not -to -exceed $10,000 will allow Prest/Vuksic Architecture to address landscape design modifications resulting from minor sidewalk changes on the grading plan to address new ADA requirements. In addition, the landscape design changes will also address minor relocation of plant materials necessary to further retain nuisance/runoff water on site. In addition, the proposal will provide design services to incorporate inert landscape materials such as boulders, cobble, and ground cover to further enhance the landscaping appearance. Since the original plans were approved in 2005, our Landscape Department has encouraged staff to evaluate the possibility of incorporating the use of boulders to improve the over-all landscape design at California Villas. The use of inert landscape materials (i.e. boulders) is recent direction that has proven to enhance the aesthetics of our landscaping. A recent example of this type of design can be seen at the recently renovated Laguna Palms housing project. Once the design of the boulders is completed, staff will evaluate the costs and return to the Agency Board with a recommendation. The Contractor shall construct, furnish equipment and materials, and perform all work as necessary or required to complete the Change Order items for a lump sum price agreed upon between the Contractor and the Palm Desert Redevelopment Agency, otherwise referred to as Owner. VukSiC Architects Reimbursable Expenses would be billed using a multiplier of 1.15 (15%) in addition to the Architect's compensation and include actual expenditures made by the Architect and Architect's employees in the interest of the Project for the expenses listed in the following subparagraphs: a. Expenses of transportation and living expenses in the connection with transportation outside of the Coachella Valley authorized by owner. b. Long distance communications. C. Fees paid in securing approvals of authorities having jurisdiction over the project. d. Computer plotting, reproductions of drawings, specifications and other documents. e.
