Funds are available in Account No. 850-4358-433-4001. Executive Summarv: Approval of staff recommendation will allow procurement of new furnishings to include movable tables, additional chairs, and permanent patio furniture for the Henderson Community Building. This furniture will be installed in the conference rooms and north exterior patio for use by the occupants. Staff recommends approval. Discussion: At the March 13, 2008 City Council meeting, furnishings were approved for the Henderson Community Building and were installed in October 2008. The existing conference tables and chairs were chosen to create a formal look consistent with the building's elegant and sophisticated architectural design. However, after operation of the building for several months, staff recently received requests to accommodate flexibility in meeting arrangements, larger groups, auditorium seating, and patio seating. Movable Tables: Staff investigated options for greater flexibility of the furnishings to accommodate different meeting types. All tables presented here have been chosen because these items are flip top units and have the capability to stack and nest together allowing users to rearrange the conference rooms in various ways, including either a conference arrangement or an auditorium seating arrangement (chairs only). A custom wood finish to match the formal finish of the existing tables has been selected. Four tables have flip-top outlets with access from below and all tables have glides (not wheels) for a sophisticated appearance. Photos of all furniture pieces have been attached for your review, and a color board will be available in the City Council conference room for your review. If approved, the existing table in conference room 1(see attached map) will be removed and stored or surplussed per the Council's direction. The cost for eight (8) moveable tables is $8,513.03. Chairs: Conference room chairs were selected and purchased following the March 13, 2008 City Council meeting as approved by the City Council. Staff received a request from the Chamber for additional chairs to accommodate large group meetings. Currently, chairs must be procured from all three conference rooms to accommodate large groups, rendering two conference rooms useless. To accommodate the maximum occupancy of the conference rooms, staff recommends purchasing an additional thirty-five (35) chairs to match the existing chairs. Photos have been attached for your review, and a color board will be available in the City Council conference room for your review. The cost for the additional chairs is $14,220.36. Total Plan is an authorized furniture vendor under the U.S. Communities Agreement and CMAS, government purchasing alliances, which allows them to sell furniture under a pre- bid contract. They will also use a state contract pre-bid by the County of Riverside and were deemed to be the lowest price. These pre-bid contracts allow governmental agencies to purchase furnishings at 50-60% below list price. Patio Furniture: Staff was directed to investigate options for exterior patio furniture for the north patio outside the Henderson Community Building. Attached please find photographs of the proposed patio tables/chair sets. The patio furniture was selected for its sustainable attributes and conformity with the aesthetic of the building. The patio furniture includes two five-seat tables with umbrellas with one handicap accessible space at each table. The perForated metal material on the seat backs and the umbrella will help to cool users in the summer and match the shade structure material on the north side of the building. This furniture is selected to be surface- mounted to the concrete patio to deter theft, but can be removed for events on the patio. Furniture pricing was obtained from Landscape Forms, Inc., the product manufacturer. The clean contemporary lines of the seat supports differentiated this product from products provided by other manufacturers. The cost for the patio furniture is $14,833.50. Staff evaluated these selections for the best use based on requests for greater flexibility, sustainable attributes, and pricing. Therefore, staff recommends the purchase and procurement of these items from Total Plan Buisiness Interiors and Landscape Forms, Inc. using the funds available in Account No. 400-4367-433-4001 of $21,696.60, funds available in Account No. 850-4358-433-4001 of $14,833.50, and an appropriation of $1,036.79 from Parkview Office Complex/Henderson Community Building fund (Account No. 510-4195-495-3370) to Account No. 400-4367-433-4001 for a total cost of $37,566.89.
